Production Rental Policies


PRODUCTION RENTAL RATES

Production rental fees are calculated in the following manner:

1st week
     Full rental list price

Additional weeks
     50% of full rental list price for rentals outside of Utah 
     25% of full rental list price for Utah rentals

Services include pulling all items from stock and personal consultation with the Archive management. Additional shipping and handling charges will be applied as needed.  Production rental rates are only available to the production costumer. All production rentals must schedule appointments. Production rentals that do not make appointments will be considered walk-in rentals, and will be charged by the day.

 

DESIGN FEES & DEPOSITS

A 25% non-refundable design fee is required before any production rental may be taken for approval. The design fee will be applied to the final rental cost. In the event of a production cancellation, the 25% design fee will be considered the cancellation fee.  In addition, a refundable damage and loss deposit is required before any production rental may be taken for approval. This deposit is $125.00 or 20% of the entire rental cost, whichever is higher.

 

CLEANING AND MAINTENANCE FEE

A fee of 20% of the total rental price will be assessed for cleaning and maintenance of all items.

 

METHODS OF PAYMENT

     • Visa, Master Card, Discover, and American Express

     • Cash

     • Personal checks up to $200

     • Business checks conditional upon bank approval

     • Purchase orders

     • Money orders

All payments not received within 30 days of billing may be taken to collections. Late payments are subject to late fees. Returned checks will be handled through Check-Rite Services and the customer may be charged additional fees according to their rates.

 

PRODUCTION CREDIT

It is required that credit for costume rental be given to Archive Costumes of the Hale Center Foundation for the Arts and Education in any program, printed material, or any medium listing production credits. Proof of credit may be required for theatrical productions.

 

PRODUCTION MAINTENANCE

Strict adherence to cleaning and maintenance instruction is mandatory. Replacement or distress fees will be assessed for any costume piece that has been damaged due to incorrect cleaning procedures. It is highly recommended that dress shields be used in the garments.

 

PRODUCTION REPAIRS

All items are expected to be in good condition upon return. Any alteration made to a costume piece is expected to be removed before its return. If repair is needed for a costume piece it is expected that measures be taken to ensure the piece incurs no further damage. With this in mind we do ask that care be taken when repairing an article of clothing.

For example:

     • Please use matching thread when repairing seams

     • DO NOT use pins to alter or repair a piece, it only worsens the tear

     • NEVER use tape on the garments

Repair kits will be sent with production rentals if available and only upon request. Repair kits can have additional textile pieces for mending as well as buttons, trims, and closures.  If there is any question in regards to a repair, please contact an Archive representative for further instruction before the repair is made.

 

DISTRESS

Fees will be imposed for all distressed costumes. These fees will be determined on a per-item basis and can be up to 100% of the rental list price. If irreparable distress is present, a replacement fee will be applied. Distress is defined as, but not limited to:

     • Any costume with exposure to smoke of any kind

     • Any tear in the garment longer than 1/2" or any tear against the grain of the fabric

     • Any garment that is stained or requires additional cleaning procedures

     • Any alterations not previously approved by Archive management

     • Missing buttons or closures

     • Any item with adhesives or adhesive residue

     • Any distress due to pinning of the garment

     • Any distress due to improper shipping methods

Any fees assessed for distress are due upon demand and if not paid within 30 days of billing, legal action may be taken.

 

LATE FEES

Any item not returned by the contracted return date is subject to a late fee. A fee of 100% of the costume rental list price per costume piece may be assessed for each day the rental is late up to 3 weeks. At the end of the 3-week late period, an additional replacement fee will be imposed.

Permanent suspension of rental privileges may result for any account that has items not returned after the 3-week late period.

 

REPLACEMENT FEES

Replacement fees can be 5-8 times the rental list price. Replacement fees may be assessed for the following conditions:

     • Items not returned within the 3-week late period

     • Any permanent alterations to a garment

     • Any irreparable distress or damage to a garment

Replacement fees are due upon receipt and if not paid within 30 days of billing, legal action may be taken. All costumes, whether damaged, or a replacement value has been paid, are original designs and/or unique property of Archive Costumes and will remain property of Archive Costumes and the Hale Center Foundation for the Arts and Education.

 

VINTAGE GARMENTS

Due to the irreplaceable nature of Archive's vintage garments, the replacement fee for any garment from the 1960s or earlier will be 8 times the rental list price and distress fees can be up to 200% of the rental list price. Please keep in mind that older garments tend to be more fragile and assessment of distress or replacement fees is stringent. Vintage garments are unavailable for rental to any middle, junior high, or high school, or similar production.

 

LEGAL FEES

Any fees that are incurred as a result of legal proceedings are the responsibility of the lessee.  Permanent suspension of rental privileges may result for any account sent to collections.  Jurisdiction for all disputes shall be the State of Utah, County of Utah, and shall be decided pursuant to the laws of Utah. All parties agree to submit to the jurisdiction of Utah courts.
